The Student Records Specialist assists the Registrar and Senior Director of Student Financial Services in maintaining accurate academic and financial records for all students. The Student Records Specialist is the first contact for students and their families in the Registrar/SFS office suite and is responsible for oversight of front office tasks. The Student Records Specialist manages all high school student enrollments and maintains all high school student educational records.
The Specialist performs typical tasks of an office manager while safeguarding student records in accordance with FERPA. Duties include data entry and data correction, enrollment verifications, filing, photocopying, payment processing and managing incoming and outgoing mail for the office, as well as maintaining oversight of front office tasks including greeting walk-ins, scheduling appointments, answering phones, and replying to e-mail requests in a timely manner. The specialist is expected to answer general questions related to academic programs, registration, student billing, and financial aid, to manage High School student enrollments, and oversee student transcripts and the transcript request process.
The Student Records Specialist position requires a person who is articulate and friendly, with a professional appearance and manner. This person must have excellent interpersonal, verbal, and written communication skills and be able to work with a wide range of people. The Student Records Specialist should have excellent time management and organization skills to be able to prioritize various tasks and withstand frequent interruptions. This job involves a combination of customer service skills and technical office skills. Computer experience, such as Microsoft Office suite tools, and the ability to identify problems with computer generated reports is critical. Experience with the Family Rights and Privacy Act and other legal formalities as it relates to academic records preferred. A bachelor’s degree and a minimum one year of professional work experience required. Preferred experienced in a higher education setting.
