Front Desk Manager, Mendall Financial Group

Mendall Financial Group - Open position – This is a fulltime, 40 hour per week, position.

Front Desk Manager - Job description:

  • Answer phone calls – Top priority.
  • Call to make and confirm appointments – Top priority.
  • Type up letters from Financial Advisors.
  • Enter Financial Advisor’s notes/letters and meeting notes onto the network/cloud.
  • Hand write notes on Financial Advisor’s behalf. Prepare envelopes for thank you cards/notes.
  • Scan/file client’s forms/updates.
  • Deposit client checks through Panini Scanner, and deposit business checks to Kennebec Savings Bank.
  • Ordering/shopping for office supplies. Ordering from Raymond James online or in stores.
  • Lobby: order/fill snacks, wash client mugs, make clients coffee/tea, show hospitality, converse politely with clients/prospects.
  • Onboarding – entering new data into RedTail, our Customer Relationship Management system (CRM).
  • Make cards, get team signatures, and mail out.
  • Receive/send faxes.
  • RedTail CRM: adding/updating notes.
  • Fold, stuff, and stamp envelopes for mailings.
  • Update/change priority of Snowbirds seasonal mailing addresses in RedTail.
  • Copy Talk – Transcribing emails from advisors.
  • Get/open the mail, make copies of specific letters, notes (to and from clients, the advisors, and third-party companies) for the Branch Manager to review.
  • Nov/Dec: Print out Realized Gain/Loss report with cost basis.

Accounting/bookkeeping:

  • Tracking accounts receivable/payable.
  • Reconciling monthly office expenses.
  • Keeping records of all credit card expenses.
  • Using Quick Books to enter expenses made by staff credit cards.
  • Pay credit card bill/other bills.

Job Skills and Requirements - The applicant must:

Absolutely be a team player. This is the number 1 qualification for this job.

Must be finger printed and bonded.

Must show: manners, morals, character, common sense, trust, patience, respect, class and integrity.

Must have a pleasant demeanor, be friendly, and offer a welcoming smile and greeting to clients, prospects, and third-party representatives.

Must have excellent verbal and written communication skills, as well as professional phone etiquette.

Must wear professional business attire and professional shoes at all times.

Must be willing to learn and take on new jobs, tasks, and responsibility for them.

Must be willing, during down times, to offer help to the Certified Financial Planners (CFPs).

Must be familiar with computers, printers, scanners, copiers and Microsoft applications.

Must be able to drive, in-state, to other offices, and client events – compensation provided.

Any outside accounts, excluding bank checking, savings, and 529 educational accounts, must be brought over to Raymond James. This is a Raymond James firm policy.

Ability to be able to handle multiple jobs/tasks at the same time.

Ability to create and foster excellent relationships with clients and prospects.

Must be able to provide “Above and Beyond” service to clients and prospects.

Must have the ability to stay late occasionally, and attend client events outside of normal business hours – compensation provided.

Education/experience:

High school diploma a must and 2 – 3 years’ experience in this position or related field. An Associate’s or Bachelor’s degree is seen as a definite plus.
